Why Stackfield?
Not long after the association was founded, it was clear that digital support was essential in order to keep the organizational effort to a minimum and to ensure effective collaboration with various specialist institutions and external partners. However, the search for a suitable solution presented the training association with major challenges.
As a public institution, the association was subject to the strict requirements of the authorities, which made the search more difficult. The relief was all the greater when the IT department of the district administration office made a recommendation: Stackfield.
“We were incredibly happy because it was really difficult to find a suitable medium that met the regulatory requirements.”
Stackfield not only met the strict security requirements of the authority, but also offered all the functionalities that the training association needed for its work: online conferences, central document storage, project management in rooms and the possibility of integrating external partners.
First steps with Stackfield
To introduce Stackfield, the association was offered two Stackfield training sessions. All members were divided into two groups and individually familiarized with Stackfield's features and capabilities. For those who were unable to attend the training sessions, a recording of the training was made available so that they too could catch up on the introduction. This gave everyone a basic understanding of the platform right from the start, which made it much easier to get started.
Preparing events and implementing projects
The diverse topics and events of the nursing training association, such as the recruitment of skilled workers or job fairs for foreign citizens, are organized by working groups as part of projects. For this purpose, Stackfield offers themed rooms that enable targeted organization and collaboration.
Depending on the requirements, the modules within a room offer various practical functionalities:
- To-dos can be created, assigned and edited in the tasks module. This way, the progress of the project remains clear at all times.
- Messages and agreements can be made centrally in the communication module and in the various comment sections.
- Ideas and concepts can be compiled and structured in the pages module.
- The files module supports, for example, the creation of flyers or the standardization of documents from different departments.
Here, the different modules of the room are closely linked to each other. This way, it is possible, for example, to attach files directly to the corresponding tasks and pool information together.
Cooperation with external partners
Many of the association's projects are carried out in collaboration with external partners. Thanks to Stackfield, collaboration can take place digitally in one place and information remains accessible to all participants at all times.
External individuals are integrated into Stackfield and the relevant rooms with limited rights. Due to their role in the organization, they only have access to approved materials and only see the people in their work group. Confidential information remains hidden and only really relevant data is disclosed. Geisenhofer praises: “Stackfield makes collaboration with external people so much easier.”
Online meetings with Stackfield's conferences
If a working group involves external partners, meetings sometimes need to be held online. For this purpose, the training association uses Stackfield's conferences. The appointment is simply scheduled in the calendar of the relevant room and all relevant participants are invited. Users without their own Stackfield account can be added by email invitation including the conference link. Finally, the conference can take place directly in Stackfield and all participants can communicate securely with each other without the need for additional tools.
Stackfield for greater transparency
Thanks to Stackfield, everyone in the nursing training association now has a clear picture of upcoming tasks and the current situation at all times. Geisenhofer praises: “Stackfield greatly enhances transparency. Even if you haven't checked a room for a while, the communication module makes it easy to see what has happened.” The communication module provides a clear overview of all activities and messages in the room. With the help of filters, users can customize the view and focus on the relevant information.
Geisenhofer particularly appreciates Stackfield's flexibility and adaptability and enjoys discovering new functionalities. She warmly recommends Stackfield to other authorities.
“Stackfield is perfect for cross-sector work. The platform meets all requirements and simplifies work enormously.”
